Leaving Premises: exporting everything you own

The test of whether your data is yours is whether you can take all of it and leave. Here is the button, what comes out of it, and what happens next.

  1. Open Settings › Automation › Export. Owner and admin roles only.
  2. Choose what to include. The default is everything: records as CSV, documents, invoice PDFs, the audit log, and the database file itself.
  3. Prepare the archive. It is built in the background — a few seconds for a small workspace, a few minutes for one with years of receipts — and you are emailed when it is ready.
  4. Download. The link works for 48 hours and once used is logged. The archive is a ZIP; everything inside opens with free tools.
  5. Close the workspace, if that is why you exported: Settings › Business › Close workspace. Two-factor code required. The address stops working immediately; the data is deleted after thirty days, backups age out on their normal schedule, and you are emailed at each step.

What is in the archive

  • Records — one CSV per table with a header row. Clients, units, tenancies, invoices and their lines, payments, expenses, stock movements, staff, tickets, gate log.
  • Documents — every uploaded file, decrypted, in folders named by client and unit.
  • Invoices as PDF — each one exactly as it was sent, with your logo and the payment details of the day.
  • The audit log in full.
  • The database — a single SQLite file, the same one the platform uses. Anyone who can open a spreadsheet can open it with a free viewer; anyone who can write a query can do anything with it.

Why the database file is included

CSVs are convenient and lose the relationships between tables. The database file loses nothing: it is your workspace, whole, in a format that has been open for twenty years and will outlive us. Including it is the honest version of "your data is yours".
