Lease agreements: template, fill, send, sign
A lease is the same document every time with different names and dates in it. The platform treats it that way: your template, the records, a link, two signatures.
- Set up the template once. Settings › Documents › Lease template. Use the provided Philippine residential lease as is, edit it, or paste your own. Blanks are written as {{client.full_name}}, {{unit.legal_description}}, {{tenancy.rent}} and so on; the editor lists every available field and highlights any you have typed wrong.
- Prepare a lease from the client's page: Lease › Prepare. The platform asks for any field the template needs that the records do not yet have — civil status, ID number, the unit's legal description if it was never filled — and stores the answers on the client and unit for next time.
- Review. The filled document is shown as it will be signed. Fix anything by fixing the record, not the document, so the next lease is right too. Special clauses for this tenancy go in the Additional terms box, which the template includes.
- Send for signature. The tenant receives a link to their portal, where they read the full document and sign. The platform records how it proves that signature — the next article explains.
- Sign your side when the tenant has signed (or before — order does not matter). The sealed PDF, with both signatures and an evidence page, is filed on the client, the unit and the tenant's portal.
Renewals and changes
A renewal generates a new lease from the same template with the new dates and rent; the old one stays on file. A change mid-term — a new co-tenant, a rent adjustment — is an addendum: a short template of its own, filled and signed the same way, attached to the lease.
Paper
Some tenants, some lawyers and some banks want ink. Print the filled document, sign on paper, scan it, and upload it to the lease — it is filed exactly the same way, marked as signed on paper. Notarisation, where you want it, is done on the paper copy.
