Cleaning schedule template for rental units (and how to make it run itself)

The weekly clean, underneath

The schedule above sits on top of a weekly basic clean that is not listed because it is always the same: floors, bathroom, kitchen surfaces, bins, a quick dust, bed linen if you provide it. The weekly clean is the visit; the scheduled tasks are what gets added to it when they fall due. A visit with the weekly clean plus three or four due tasks is about ninety minutes in a one-bedroom.

A rota for two part-time cleaners

Twenty units, two cleaners, three slots a day (9–12, 1–3, 3–6), Monday to Saturday. Cleaner A takes Monday–Wednesday, cleaner B Thursday–Saturday, swapping every week so neither always has the Saturday. Three units per day per cleaner covers eighteen units a week; the remaining two rotate into gaps. Saturday afternoon is common areas. Tenants who decline a week are noted, and their due tasks simply roll to the next visit — that is the point of intervals.

On paper

Print one sheet per unit with the three groups and a date/initials column per task. The cleaner ticks and dates; a supervisor checks monthly. It works, with two weaknesses: the sheet is in the unit when you want to read it in the office, and "when is the aircon filter next due in 2E" needs a calendar and arithmetic.

Making it run itself

1. Load the list with its intervals — the platform ships this exact template under Housekeeping › Setup › Load the standard checklist.
2. Set the rota as a weekly template of units per slot; assign cleaners per day.
3. Give the cleaner a phone. Her Today page shows the unit and only the tasks due; she ticks; the record writes itself; the overdue matrix shows you Monday morning what slipped.
