The per-unit checklist: monthly, quarterly, semi-annual tasks

A good checklist is long; a usable one is short. The platform keeps the long list in Setup and shows the cleaner only what is due in the unit she is standing in.

The record keeps the date and the name.
  1. Load or write the list. Housekeeping › Setup › Checklist. The standard list is a real one from a real building: eleven monthly tasks, six quarterly, two semi-annual. Load it and edit, or start empty.
  2. Set an interval per task — 1, 3 or 6 months, or any number. That is the only setting a task has.
  3. Due-ness is computed per unit. A task is due in a unit when its last tick there is older than its interval, or it has never been ticked. A new unit has everything due; a well-kept one has three or four things a visit.
  4. The cleaner ticks in the unit. Her page shows only due tasks, grouped monthly / quarterly / semi-annual, biggest interval first. Done is one tap; the task drops to the bottom with the time and her name.
  5. The record. Every tick, per unit, forever. Housekeeping › Reports shows it as an overdue matrix — units across, tasks down, red where a task is overdue — and per unit as a history.

Turnover and short-stay cleans

A move-out clean uses a different list — the turnover checklist — because everything is due regardless of when it was last done. A short-stay changeover uses a third, shorter one. Set them in the same place; the platform picks the right list from the kind of job.

Supervisor check

Paper checklists often have a second column for a supervisor's initials. Here, a supervisor opens the unit's history and marks it Checked; that is a tick of its own, with their name. Optional; some owners want it, most do not.

Tasks that are not in a unit. The lobby, the stairwell, the water dispenser. Make them a common area in Setup and give it its own list; it appears on the rota like a unit and is cleaned like one, but never shows in money or tenant pages.
