Spreadsheet vs Premises: the same month, side by side

Where the sheet breaks

Partial payments. Frank paid ₱10,000 of ₱18,500. The sheet has one cell for "paid" and it now says "partial", which no formula can add up. On the platform a payment is a record against an invoice; the invoice knows it has ₱8,500 open and the month's total is simply right.

Vacancies. 1B has been empty since June, or possibly earlier — the note has two question marks. A unit with no tenant gets no invoice and shows as vacant with a date, because the last tenancy has an end date.

Typing. "21,000" with a comma breaks the SUM, and the total becomes #VALUE!. Amounts on the platform are numbers from the moment they are entered; the total is computed, not typed.

Memory. "CALL", "gcash - check", "see other sheet". These are the manager's brain leaking into column G. On the platform the reminder is a button with a record of when it was pressed, the GCash payment has a reference, and water is an extra line on the same invoice, not another tab.

What the sheet does better

Start in ten seconds. Change anything, anywhere. Put a note in any cell. That freedom is the whole attraction and the whole danger: the sheet will happily let you record something impossible. The platform will not, and it costs you the ten seconds of setup per tenant. Moving from a spreadsheet shows how to paste the sheet in and keep what was right about it.

Keep the sheet. Export from the platform whenever you like; the files open in the spreadsheet you already use. The difference is that the sheet becomes a report, not the record.
