Acceptable use

What may not be done with the service, and what happens if it is.

This policy is part of the Terms of Service between Web and Cloud Innovation Ltd and the Customer. It applies to you, to every person you let into the Service, and to anyone using an account you control.

The rule behind every line of it is simple: the Service holds real people's homes, wages and identity documents, and it is shared infrastructure. Nothing may be done with it that puts either of those at risk.

1Lawful Use

Use the Service only for lawful purposes, and only for the property business it was subscribed for.

Do not use it to do, arrange or conceal anything unlawful, including fraud, tax evasion, money laundering, unlawful discrimination, harassment, or the unlawful eviction or intimidation of an occupier.

2Content

Do not upload, store or send through the Service any content that:

  • you have no right to hold or to share;
  • infringes another person's intellectual property;
  • is unlawful, defamatory, obscene, or constitutes harassment or a threat;
  • contains malware, or is designed to damage or take over a system;
  • is personal data you have no lawful basis to process.

Identification documents, staff files and disciplinary records may be held only where they are genuinely needed for the tenancy or the employment, and only for as long as that need lasts.

3People And Accounts

Give each person their own account with only the capabilities their job requires.

Do not share a password, do not sign in as somebody else, and do not leave an account active for a person who has left.

Do not use the Service to look at records you do not need for your work. Every document opened is logged, and that log exists precisely so this rule can be enforced.

4Security

Do not probe, scan, penetration-test, reverse engineer, decompile or attempt to defeat any security control of the Service without our prior written agreement.

Do not attempt to reach the data of another business on the platform, and tell us at once if you ever find that you can.

Do not introduce credentials, keys or tokens belonging to somebody else, and do not extract the encryption key or a database file except through a facility we provide.

If you find a vulnerability, tell us before you tell anybody else. We will not pursue a person who reports a genuine fault responsibly, gives us reasonable time to fix it, and does not exploit it beyond what is needed to demonstrate it.

5Load And Automation

Do not deliberately overload the Service, and do not run automated processes against it — crawlers, scrapers, load generators, bulk exporters — except through a facility we provide or with our written agreement.

Normal use by your own people, including the Service's own scheduled tasks, is expected and is not automation of this kind.

6Messages

Messages sent through the Service — invoices, reminders, notices, portal invitations — must go only to people who have a genuine relationship with your business.

Do not use the Service to send unsolicited marketing. You are responsible for complying with the messaging, telecoms and data protection laws that apply where your recipients are.

7Resale

Do not resell, sublicense, rent or provide the Service to a third party as a service of your own without our written agreement.

Running the property business of a company in your own group, from your own subscription, is not resale.

8What Happens If This Policy Is Breached

Depending on what has happened and how serious it is, we may contact you and ask for it to be put right, restrict a function, suspend an account or the Service, or in a serious case end the subscription under the Terms of Service.

Where the law requires it, or where a person is in danger, we may report the matter to the authorities.

We will always tell you what we have done and why, unless the law forbids it.
