An assembly notice is an announcement to homeowners with the by-laws' lead time, the agenda and proxy form attached, sent by portal, WhatsApp and email. The read list and delivery log are the proof of service that the by-laws and the HLURB/DHSUD rules expect. A board meeting notice goes to officers the same way.
Minutes and resolutions
Association › Records: upload the signed minutes and each resolution as a document with its date and meeting. Resolutions can be tagged to what they change — a dues rate, a rule, a special assessment — so the dues schedule or the rule shows "per Resolution 2026-04". Publish to homeowners or keep board-only, per document.
The financial report per meeting
The association report for the period since the last assembly generates as the treasurer's report: dues billed and collected, arrears, common expenses by category, reserve fund, special assessments. One page, attached to the minutes.
By-laws, rules and registers
The by-laws and house rules published on the portal, versioned, with the resolution that adopted each version. The register of homeowners and lots, exportable for the annual DHSUD filing. The officers' register with terms.
What the board still does
Hold the meeting, count the quorum, take the minutes, sign them, file with the regulator, run the election. The platform does not vote, count proxies or certify anything; it keeps what you produce where it can be found and proves it was sent.
