Adding a staff member and choosing what they see
Adding a person is a form with five fields and a role button. The part that matters is the role, and the part people skip is checking it with View as before the person signs in.
- Open People › Staff › Add.
- Name, mobile, email (email optional — the invitation can go by WhatsApp), and places if your workspace has more than one; a cleaner at Harbour Ridge does not need Sunset Villas on her Today page.
- Role. One of six buttons. Which one. When in doubt, the lower one.
- Add and invite. A single-use link by WhatsApp or email; they set their own password on first sign-in. If Require two-factor is on, they set that up before they can continue. You never know their password.
- View as from their row to see exactly what they will see. Then, the day they leave, Deactivate from the same row: access ends that second, every record they touched keeps their name.
Employment records are separate
Adding a staff account is about access. The employment record — contract, pay, government numbers, documents — is a separate thing under People › Employment, kept only by admins, and optional. A contractor who needs a login does not need an employment record; an employee who never touches the platform may have a record and no login. Employment records.
Shared devices
Do not create "reception" as a person. Create the people, and if they share a tablet, each signs in with their own account — or use a kiosk PIN for the post. Shared accounts make the audit log meaningless.
