Employment records: the form, the fields, the paper trail

The employment record is the folder in the filing cabinet, made searchable, encrypted and reminded. It is separate from the login, optional, and visible to admins only.

The six tabs

Person — name, address, contacts, emergency contact, birth date. Employment — position, start date, status (probationary, regular, project, casual), schedule, place, who they report to, end date when it comes. Pay — basic, allowances, how often, how paid; feeds payroll if you use it. Government — SSS, PhilHealth, Pag-IBIG, TIN, masked on screen. Documents — contract, job description, handbook acknowledgement, clearances, IDs, each with a status and, where relevant, an expiry. History — every change, review, disciplinary note and pay change, dated.

Contracts as templates

Like leases: your contract with {{employee.full_name}}, {{employment.start}}, {{pay.basic}} blanks, filled from the record, sent to the employee's phone, signed by both with the same evidence page. A provided template covers a standard Philippine employment contract; have a lawyer read it once. Job descriptions and handbook acknowledgements work the same way.

What the platform reminds you of

Regularisation at six months from the start date (180 days, per the Labor Code, set earlier if you like). Contract end dates for project and fixed-term staff. Clearance and ID expiries. Annual review dates if you set them. Each lands on Needs you thirty days ahead.

Who can see it

Admins and the owner. Managers see the Person and Employment tabs of people who report to them, not pay or government numbers. The employee sees their own record on My account — and can ask for a correction. Every reveal of a masked number is logged with who and when.

Not HR software. No leave balances, no 201-file workflow engine, no performance scoring. A record, a contract, the dates that matter, and a history. Reviews and disciplinaries have their own short articles because they carry legal clocks; payroll is a separate module you can leave off.
