Official receipts and BIR: what the platform records and what your booklet still does

Tenants say 'receipt' and mean three different documents. Knowing which one the platform makes, which one your booklet makes, and how the two are tied together keeps the BIR conversation short.

Three documents

Invoice (or statement of dues) — the platform's request for payment, numbered in your own sequence, delivered by email, WhatsApp and the portal. Not a BIR document. Acknowledgement receipt — the platform's confirmation that a payment was recorded, with amount, date, method and reference. Useful for tenants; not a BIR document. Official receipt — issued from your BIR-registered booklet or an accredited receipting system when payment is received, with a serial from your Authority to Print. This is the one the BIR and your tenant's accountant want.

The OR register

When a payment is recorded, it joins Money › OR to issue. You write the OR from the booklet as you always did, then type its serial, date and amount against the payment. The platform checks the serial is in sequence and not already used. The queue is empty when every payment has its OR. Turn the register off in Settings if another system already handles it.

Withholding

A company tenant withholds 5% on rent and gives you a BIR Form 2307. Record the payment at the net amount received, tick Withheld and enter the withheld amount; the invoice shows as Paid, the withholding is recorded against the client, and the 2307 is uploaded to the payment. The income register shows gross, withheld and net per payment.

The monthly income register

Part of the accountant pack: every payment with its OR serial, gross, withholding, net, method and client; serial gaps and duplicates flagged; totals per month. Your accountant files from this without retyping.

Not tax advice. Whether you issue ORs or sales invoices, which form, and what VAT or percentage tax applies depend on your registration. The platform records what you issued; your accountant decides what you should issue.
