Sending invoices by email and WhatsApp

An invoice that does not arrive is not an invoice. The platform sends by the channels your tenants actually read, tells you whether it got there, and never makes you attach a file by hand.

  1. Set up once. Settings › Sending. For email: an address at your domain (the platform walks you through the two DNS records that stop your invoices landing in spam) or, to start, send from the platform's address with your name. For WhatsApp: connect a WhatsApp Business number, or start with WhatsApp by hand, which opens the message in your own WhatsApp for you to press send.
  2. Send a test to yourself from the same page. Both channels, real invoice, your own phone.
  3. Per client, choose channels. On the client's page: email, WhatsApp, both, or portal only. Most tenants under forty want WhatsApp; most companies want email.
  4. Send — from a draft, or automatically from a repeating schedule. The message text comes from your templates in Settings › Sending, with the invoice number, amount, due date and a link filled in.
  5. Delivery. The invoice shows when each channel delivered and, where the channel reports it, when it was opened. A bounced email or a failed message is flagged on the invoice and on Needs you with a Resend button and the reason.

What each channel carries

Email: the PDF attached, a short message, a link to the portal. WhatsApp: a short message with a secure, expiring link to the PDF and a link to the portal — not an attachment, which WhatsApp business messaging handles poorly. Portal: always, the moment the invoice is sent, whether or not anything else goes out.

Reminders use the same channels

A reminder from the chase list goes by the same channels with a different template. Chasing late rent covers the wording and the rhythm.

Spam. Email from a new domain can land in spam for the first weeks. The two DNS records the setup page asks for (SPF and DKIM) fix most of it; asking tenants to reply to the first email fixes the rest. WhatsApp has no spam folder, which is one reason to offer it.
