Your first invoice: draft, send, paid

An invoice is a request for money with a date on it. Raising one takes a client and a minute; the interesting part is what the platform does after you press Send.

  1. Open Money › Invoices › New. Or from a client's page, New invoice — the client is then already chosen.
  2. Choose the client. Their unit and monthly rent appear as the first line. The due date defaults to what you set in Settings › Business › Invoicing (the 5th of the month is common); change it for this invoice if you like.
  3. Lines. Add anything else owed this month: a water or electricity reading (extras explains the tariff bands), a repair charged to the tenant, an item from stock, or last month's unpaid balance carried forward. Each line has a description, a quantity and an amount; the total is computed.
  4. Send, or Save draft. A draft has no number, is not owed, and is not visible to the tenant — it is your scratchpad. Sending assigns the next number in your sequence, renders the PDF with your logo and payment QR codes, delivers it by the channels you set for this client (email, WhatsApp, or both), and puts it on their portal.
  5. Record the payment when it arrives — one tap from the invoice — or let the tenant pay from the portal, in which case it records itself.

After Send, on its own

On the due date, an unpaid invoice becomes Overdue and joins the chase list. A partial payment leaves it Partly paid with the open amount shown. When the open amount reaches zero it is Paid and leaves every list. You never change a status by hand; statuses are computed from dates and payments. Invoice statuses explained covers every state.

Send one to yourself first

Make a test client with your own email and unit "TEST". Raise, send, open it on your phone, scan the QR. If the logo, the payment details or the wording are wrong, fix them in Settings and void the test invoice. This is the fastest check that your setup is right.

Numbering. Invoices are numbered in sequence, with a prefix you choose, and a number is never reused or skipped — the BIR expects that. A voided invoice keeps its number and is marked void. Voiding vs deleting explains why there is no delete.
