Creating your workspace: from sign-up to first invoice in one sitting

A workspace is your copy of Premises: your address, your database, your rules. Creating one takes four screens; making it useful takes the rest of this page.

Sign-up, screen by screen

Go to premises.ph/signup. You will be asked for your business name, your name and a work email, then for the layout of your estate, then for the address you want, and finally for one promise about data. There is no payment step during the free period.

  1. Name the business the way it appears on your invoices. This is the name tenants will see in the top bar and on every PDF. You can change it later in Settings › Business.
  2. Choose your estate shape. Buildings with floors if your units are stacked; Streets, blocks or phases if they are houses and lots; Units in several places if you hold a mix. This only sets up your first place — you can add more of either kind afterwards. Unsure? This two-minute chooser decides for you.
  3. Pick your address. Lower-case letters and digits only. It is checked as you type. This cannot be renamed later, so use the name people already call your business, not a campaign or a year.
  4. Accept the promise. A short undertaking that you will handle other people's personal information properly. It is stored with your account together with the time and the browser that accepted it.

Your workspace is created in about ten seconds. You will land inside it already signed in, and a sign-in link goes to your email for next time.

Make it useful: units, a client, an invoice

  1. Add units. Open Places and add your first units under the place you created at sign-up — just names for now ("1A", "Lot 14"); the legal address and running costs can wait. If you have a spreadsheet, paste it in instead of typing.
  2. Add one client. People › Clients › Add. Name, phone, the unit, move-in date, monthly rent. Everything else — ID details, deposits, civil status — is for the lease later and can be left blank today.
  3. Send one invoice. Money › Invoices › New, pick the client, and the rent line is already there. Send it to yourself first: you will see exactly what the tenant gets, PDF and payment details included.
Why send a real invoice on day one? Because it is the shortest path to the question that matters: does this look like my business? The logo, the payment details and the wording are all yours to change in Settings, and it is easier to judge them on a real document than on a settings page.

What to leave for tomorrow

Inviting staff, uploading your logo, building a cleaning rota, turning on two-factor authentication. All of it matters, none of it has to happen today. Your first day puts the five that do matter in order.
