Inviting staff and giving each person exactly the access they need
Every person you invite is an account that can act inside your workspace. The platform makes that safe the simple way: one role per person, and roles that cannot see what they do not need.
- Open People › Staff and press Add. You need a name, an email or a phone number, and a role. That is all the platform needs to make an account.
- Choose the role. Start low. A manager who turns out to need payroll can be promoted in one click; an admin who should have been a manager has already seen everything. The figure above shows what each role opens.
- Send the invitation. Email, WhatsApp, or copy the link and hand it over yourself. The link works once and expires in seven days. The person sets their own password on first sign-in; you never see it.
- Check what they see. On the staff list, press View as next to their name. You are now looking at their screen with their role — your own session is untouched, and a banner reminds you whose eyes you are borrowing. Press Return when done. Everything you do while viewing is recorded in the audit log under both names.
Cleaners and guards
Give them the Staff role. They do not get My day, the menu, or anything with a number in it. They get Today's work: the week's rota, a check-in button, the unit they are working on and its checklist. It is designed for a phone held in one hand. If someone on your team does not have a personal phone or an email, a kiosk PIN lets them clock in on a shared device instead of having an account.
When someone leaves
People › Staff › Edit › Deactivate. Their sign-in stops immediately, their name stays on everything they did, and their records — employment, payroll, reviews — remain. Do not delete accounts; deactivate them. A deleted account would leave holes in your history, and the platform will warn you before it lets you.
