Inviting tenants to their portal — what they see and what they can do

The tenant portal is the part of your workspace your clients are allowed to see: their balance, their invoices, their agreement, a button to report a problem. Inviting them takes a minute and saves you a message a day.

  1. Open the client in People › Clients and press Invite to portal.
  2. Choose how to send it. WhatsApp opens a message with the link already in it; email sends it from your workspace; Copy link lets you hand it over any other way. The link works once and expires after seven days — you can send a fresh one at any time.
  3. They set their own password on first visit, at your workspace address. They will be asked to turn on two-factor; you can make it required in Settings › Security.
  4. Preview before you send, or after. View as tenant on the client's page shows you their portal exactly as they will see it, while your own session carries on untouched. A banner shows whose view you are in; Close tenant view returns you.

What a tenant can see

  • Balance — due, overdue and settled, with the invoice that makes up each figure.
  • Invoices — every one addressed to them, as a PDF, with payment details and QR codes. Nothing addressed to anyone else.
  • Tenancy — unit, dates, rent, deposits held. A warning appears sixty days before the end date.
  • Agreements — the lease to sign, and the signed copy to download afterwards.
  • Support — a form to report a problem with a photo, and the status of what they have reported.

What a tenant can never see

Other tenants. Your staff. Your costs, your profit, your stock. The portal is served from a separate door with its own session, and it can only reach eight pages; everything else in the workspace simply does not exist from that side. If a tenant types a staff URL they get a sign-in page, not a glimpse.

Homeowners associations. For an HOA the portal shows dues instead of rent, and officers get a separate role with more to see. The mechanics — invite, link, preview — are identical.
