Your first day: the five things to set up before inviting anyone else

There are dozens of things you could set up on day one. Five of them matter, and the order matters more than the speed.

  1. Business details. Settings › Business. Legal name, address, the bank or e-wallet details you want on invoices, and your logo. The logo you upload here appears on invoices, on the sign-in page and in the top bar — one upload, everywhere. Payment details are printed on every invoice and turned into QR codes, so check them twice.
  2. Units. Places. Add every door you manage under its place. Names only for now. The full legal description of each unit — the one that goes into a lease — can be added when you prepare the first lease, not today.
  3. Clients. People › Clients. Current tenants or homeowners only: name, phone, unit, move-in date, monthly amount. Leave past occupants out; if you need their history you can add it later with its real dates.
  4. Two-factor on your own account. My account › Security. Your account is the one that can see everything and change anything, which makes it the one worth protecting before anybody else arrives. Scan the code with any authenticator app, then print or save the recovery codes somewhere that is not your phone. The full guide covers what to do if you lose the phone.
  5. One real invoice, to yourself. Make a test client with your own email and unit "TEST", raise an invoice, send it. Open the email on your phone, open the PDF, scan the QR. If anything is wrong it is one of the first four, and you will see which. Then void the invoice and delete the test client — both take one click.

Why this order

Each step depends on the one before it. An invoice needs a client; a client needs a unit; a unit needs a place; everything is stamped with the business details. Do them in reverse and you will re-open every record to fix what was missing. Two-factor sits fourth rather than first only because you need the workspace to exist before you can lock it.

Do not invite staff before step four. Every invitation you send is an account that can act inside your workspace. Locking your own account first means that if an invited account is ever compromised, the one that can undo the damage is still safe.

Seriously. Housekeeping rota, inventory, payroll, lease templates — they all wait. Use the platform for a week with just money and clients, and you will know what to set up next far better than any checklist can tell you.
